With quality management tools lacking in eDiscovery, Cavo eD has included the creation of integrated checklists as a primary Project Management tool. Cavo eD users can assess a library of pre-created best-practice Process Checklists as a starting point for building their own customized Process Checklists that match their own workflows. Process checklists are also key to accurate budget forecasting since granular budget items can be assigned to each activity which can then be examined using the Dashboard display to drill down to details and display aggregate information.

Each Process Checklist includes Tasks that are assigned to different users. These Tasks appear in each user’s Task List on their Dashboard. These Tasks also appear in their Calendar. The Case Manager can set up Alerts for each Task so that the Task’s owner, their manager, and others can be notified by text or email either before a Task is due, or after.
Process Checklists also serve to inform a Task owner what their task is, when to start and when to finish, and who is working with them on the task. Cavo eD can automatically time stamp when a Task owner actually started and finished a Task. Since tasks and completion directly impact budgeting, this has ramifications for real-time Budget Forecasting. Users will know any changes in the forecasted completion date in real-time because of the linkage between Cavo eD and the Budget Forecasting module through a shared Process Checklist.
Additionally, the system tracks real data in each case which can then be used as historical records across multiple cases to improve future Project Checklists and budgeting predictions. An Automated Documentation system produces defensibility documents since all Tasks are tracked and can be exported for delivery to the courts.

The same Task granularity that is created with a Process Checklist can be used to accurately create budget forecasts. Process Checklists can be integrated and automated in Cavo eD that with little additional effort. This allows Users to link Tasks to Budget items with great granularity, and with the benefit of historical information track how long a Task took and under what circumstances.
Cavo eD users will know any changes in the forecasted completion date in real-time because of the linkage between Cavo eD and the Budget Forecasting module through a shared Process Checklist.
Associating real data regarding how long a Task actually takes creates an actual history to use when creating a Process Checklist for a new case. Over time, Cavo eD users’ estimates for how long a case will take to finish should get better and better. Another key benefit with Cavo eD is the built in defensibility that is part of the Automated Documentation system. The Documentation reflects all the time stamped Task data points in the Process Checklist which is automatically generated, ready to be emailed or printed as a PDF.
All this information flows back into the Budget Forecasting module, where Case Managers and clients can see real-time updates on how the actual costs of a case are tracking against the budgeted costs. Intervention as needed can happen immediately when a problem begins to emerge, rather than after it is too late to do anything about it.
Customized Dashboard for Budget Forecasting
All of this information flows back into a Dashboard that displays a variety of financial measures. These financial measures show the actual performance of multiple Case Plans compared to budget. Users of the Budget Forecasting module can also open a specific Case Plan from the Dashboard. There they can see the granular detail of how the case is progressing versus budget, for both expected completion date and costs. Users can be limited to specific case information or be granted access to multiple cases.
The Business Intelligence module adds metrics on cash flow, revenue, and profit forecasting for both the client and the law firm or service provider. In addition, users of the Business Intelligence module can estimate the value of a positive outcome to a case, and the likelihood of this outcome. Then, based on these estimates, the Business Intelligence module will calculate the Internal Rate of Return for a particular Case Plan. Users can then test different assumptions for Case Plans and case outcomes in order to make the best business decisions about case strategy.
