Cavo Legal takes the principle of checklists as an eDiscovery Project Management tool, and fully implements it. Cavo eD users can assess a library of pre-created best-practice Process Checklists as a starting point for building their own customized Process Checklists that match their own workflows.

Once Cavo eD users have developed their own Process Checklists that mirror their internal workflow, they can start applying them to live cases. This is where the Cavo eD Case Management system adds true control to ongoing projects.

Each Process Checklist includes Tasks that are assigned to different users. These Tasks appear in each user’s Task List on their Dashboard, as well as in their Calendar. The Case Manager can set up Alerts for each Task so that the Task’s owner, their manager, and others can be notified by text or email either before a Task is due, or after. Since the Cavo eD Calendar can sync with Microsoft Outlook™ calendars, these Tasks also can sync, and thus be available on mobile devices (assuming all of this meets security requirements).

These Process Checklists are multi-functional. They serve to inform a Task owner of what their task is, when to start and when to finish, and who is working with them on the task. Cavo eD often can automatically time stamp when a Task owner actually started and finished a Task. This has ramifications for real-time Budget Forecasting. If a Task is taking longer than budgeted, then this delay can impact whether a Review will be completed on time. Cavo eD users will know any changes in the forecasted completion date in real-time because of the linkage between Cavo eD and the Budget Forecasting module through a shared Process Checklist.

These Process Checklists are so integrated and automated in Cavo eD that with little additional effort, Cavo eD users can budget Tasks with great granularity. In addition to maximizing the utility of Process Checklists, Cavo eD’s Budget Forecasting module offers users a variety of methods for estimating different types of costs. For instance, estimating a price for Processing depends on the kind of data in the case, and the pricing model of the technology. This is very different from the methods needed to estimate the cost of a linear Review, which can vary by the hourly compensation of different Reviewers and their individual pace statistics for Reviewing the kind of data in the case.
