Traditional LSI uses the average cosine similarity between the query vector and the document vectors in the seed set. This approach has a serious drawback in that it will give a lower score to a document that is highly similar to one of the seed document but dissimilar to most of the seed documents. Also some applications may require ranking documents based on the similarity of their metadata in addition to the content-based the similarity regardless of the reliability of the metadata in your particular data collection. Cavo Legal has created Enhanced Latent Semantic Indexing (ELSI) (Patent Pending) which provides three different similarity metrics that contribute to the score of a document given an input seed document set.

  • Average Seed Similarity: This is the average cosine similarity of the input document with all seed documents
  • Best Seed Similarity: This is the similarity of the input document with the seed document closest to the given document in the reduced dimensional space. Put another way, this is the highest similarity of the document with any document in the seed set.
  • Metadata Similarity: This is the average metadata similarity of the document with any document in the seed set. Metadata similarity is based on the following fields due to their high reliability:
    • Date
    • Date Falloff
    • Date within Days
    • Email Address
    • Title

The weights for each of these metrics are user configurable, i.e., “tuned”, to enhance results. We recommend using a control document set for the configuration.

Communication during a Review is essential. Individuals on a Review team are learning new things about a case on a daily basis and that information needs to be communicated consistently and quickly.

Counsel is constantly evolving its understanding of the case, and frequently refocusing the objectives of the review team. Does the review team know the parameters of the target documents have changed? They will with good communication. And then the unexpected happens, and everyone on the case needs to know what to do to react.

Cavo Legal built its Dashboard with extensive communication tools. The Dashboard melds a full project management feature set into the user interface.
These tools include a Calendar with a unique view for each user of their Tasks and To Dos. Forums enable discussions of Review issues, a kind of wiki for ready answers to previous questions. Cavo eD syncs with email systems, so counsel (and others as permitted) can communicate back and forth with the team. Cavo eD also has a private, internal Instant Messaging system for immediate issues that need to be shared.

The Dashboard is also where users find all the Comments on documents and all the Sticky Notes, so that they can stay up to speed on what is being noted about various documents. They also can see the latest version of the Case Summary and Case Details.

Overview

Cavo eD captures virtually every action a user takes on the system in its logs. Cavo eD makes great use of this data to provide quality and productivity measures at all stages of an eDiscovery project. Two of these measures are Progress Reports and Productivity Reports.

Progress Reports provide a number of metrics on each user including various Pace Metrics, percent of the tags that are overridden, a graphical profile of their Reviewed documents, and graphs on how they are tagging documents. In one single view, a Case Manager can see virtually all the important metrics about a reviewer. Then the Case Manager can compare reviewers side by side or rank reviewers in a variety of ways.

Productivity Reports are trend-line graphs that can be filtered a variety of ways to suit the Case Manager’s needs regarding the pace and productivity of various reviewers. This information can be used on a case level while also providing overview information that can be used to determine which review staff should be selected for a new project, based on their performance.

The idea of identifying the documents that have salient facts, issues, questions and items of note, and organizing these documents for purposes of making legal arguments, is not new. Attorneys have used a variety of tools over the years to do this. What’s powerful is when this can be done inside the eDiscovery product, so no set-up is required and no need exists to export documents into an external tool. The Elements feature is an improved version of a key document outline.

Another benefit is the synergy between the work of the review team and the information available in Elements. As documents are reviewed, they can be linked to Facts, Issues, Questions and Items, so counsel has all this information organized and available with no additional work by them. The information is then output to a PDF report with hyperlinks to the salient documents.

Overview

By providing the reviewers with extra functionality, reviewers have the flexibility to design their own individual workflows to improve their speed.

Sometimes it is little things that can make the biggest difference in reviewer performance. With Cavo eD a reviewer can right-click on key words in a document that they believe is indicative of a certain tag response. Cavo eD will then launch a search for all documents in that review folder with those keywords. Then the reviewer can tell Cavo eD to automatically tag all the documents that have those keywords. Large numbers of documents can be correctly tagged that fast.

Additionally, using the advanced filtering options that are available in the document grid, reviewers can filter the information in their review folders to reflect their own workflow. Documents can be sorted on virtually any metadata field such as author, document type, and date range or however a reviewer feels will best suit their needs.

Also reviewers can customize the Review screen setup in the way that works best for them. The “views” most commonly used during the review, the Grid, the document panel, the tag panel and any other view can be placed and sized according to each reviewer’s preferences, providing a comfortable work option.
